Tool lists age badly. The specific products worth using shift every few months, but the categories have been stable for years — and knowing which category you actually need saves more time than picking the perfect vendor inside it.
Four categories that cover most needs
Orchestration tools connect systems and move work between them. Extraction tools turn unstructured input — email, PDFs, calls — into structured data. Assistants draft and summarise inside an existing workflow. Observability tools tell you when any of it silently stops working, which is the category teams skip and later regret.
Buy the boring layer, build the specific one
Integrations, queues, retries and logging are solved problems; paying for them is almost always cheaper than maintaining them. The part worth building yourself is the logic unique to your business — the routing rules, the thresholds, the exceptions that are the reason the process exists at all.
The honest advice: pick the smallest tool that covers your first workflow, and only add to the stack when a real limitation forces you to. Most automation projects fail from too much tooling, not too little.
